2. Purpose of processing personal data

Collection of personal data on the Roofgroup.fi website requires that the user voluntarily provides their information, for example via a form. An email address or other contact information is only requested in the following situations:

  • When the user sends feedback, asks questions or wishes to be contacted.
  • When the user subscribes to a newsletter or other publication.
  • When the user submits a rental application.

Those who have provided their email address through the subscription service will be notified of the publication of a new newsletter.

2.1. Rental Apartment Applications

The data controller processes personal data submitted through rental apartment applications for the purposes of applying for rental apartments, processing applications, and selecting tenants. Personal data is handled on behalf of the data controller by the service provider SurveyPal, a form and survey service, which forwards the application information to the data controller.

Data disclosure:

  • The data controller discloses the applicant’s information to the owner of the apartment.

3. Data content of the register

The register may contain information voluntarily provided by the user, such as:

Personal data is only retained for as long as is necessary to fulfill the purpose for which it was collected or processed or to fulfill statutory obligations.

The data retention period is determined according to the following criteria:

Newsletter subscribers and marketing lists:

  • Email addresses are retained as long as the person is a subscriber or has not withdrawn their consent to marketing.

Contact and feedback forms:

  • The data is retained for a maximum of 12 months from the processing of the contact, unless retention of the data is necessary to manage a potential customer relationship.

Google Analytics, Facebook and other cookie services:

  • The retention period for cookies and tracking data is determined by the terms and conditions of the service providers. In Google Analytics, the retention period is typically 14-26 months.
  • Facebook tracking data is retained until the user deletes it through their own account.

Documents related to real estate assignments:

  • Documents are retained for at least five (5) years after the end of the assignment in accordance with the Finnish Brokerage Act.
  • Documents are retained for ten (10) years in case of possible liability for damages.

Documents and customer information in accordance with the Money Laundering Act:

  • Retained for at least five (5) years after the end of the customer relationship or the completion of the transaction. The necessity of retaining the data is reviewed at least every three (3) years.

After the retention period has expired, personal data is securely deleted or anonymized, unless there is another legal basis for their retention (for example, a pending dispute or an official obligation).
